designing digital infrastructure to streamline processes and drive efficiency.

The Challenge

To pave the way for evolution and scale, FWDthink set out to level up — starting with their digital Infrastructure and the processes that power it. Our key objective was building Systems and Processes that empower the team to leverage data, manage projects with ease, and optimize time. Scroll to see how we designed solutions.

  • We conducted research like interviews, surveys, and journey mapping with each department.

  • We engaged a ux approach and conducted design sprints to build sustainable systems and processes for each department and company-wide infrastructure to glue it all together.

  • By leaning on technology that the company already utilized and engaging automation to do the heavy lifting, we saved time and money.

  • We designed engaging onboarding programs and training materials and functionally organized for easy reference. Additionally, provided updates and new features as we got to know what works and what doesn’t.

Research

First, we talked (conducted research and interviews) with each department to figure out what’s going on and where they want to be (using journey mapping to identify the current challenges and opportunities each user faces).

design

We engaged a user-experience approach and conducted design sprints to design systems and processes that empower and connect each department and company-wide infrastructure to glue it all together.

Our biggest goal was creating solutions that are clear, sustainable, and actually work for the team and their technical capabilities. So, we designed for simplicity and leaned on familiar design styles we also created engaging onboarding programs and training materials to referenced/re-trained.

For example, redesigning points of entry for new interested customers and creating a seamless, easy to use experience that guides them through the process and takes work off the businesses hands.

develop

By leaning on technology that the company already utilized and engaging automation to do the heavy lifting, we saved time, money, and energy that would otherwise have been spent learning the new system.

These are the steps that are triggered when a new applicant completes an interest form. Cutting redundant tasks not only saves you time but it also cuts lead times (Businesses that respond within an hour are almost seven times more likely to have meaningful conversations with decision-makers).

Implementation

To help the team easily learn and adopt the new systems and processes, we designed for them, with their technical capabilities and workflow in mind. This team didn’t have the time/energy to devote to intense training programs, so we needed to keep it clear, engaging, and easy to learn.

We designed engaging onboarding programs and training materials and organized them so that they’re easy to reference, re-train, and evolve in the future. The more it’s used the better it gets- we provided updates and new features as we got to know what works and what doesn’t.

Impact

  • optimize data

Stabilize, organize, store, and mobilizing data. Designing internal and external points of entry.

Empowering the organization to use their data to it’s fullest potential at points of entry, access, and utilization.

  • streamline processes

Creating space to store, access, share information, and manage projects.

Optimizing team communication and keeping everyone informed, inspiring efficiency and accountability.

  • engaging automation

Automating repetitive tasks, delegation, and communication.

Saving time, cost, and energy. Increasing reach and volume of manageable customers.

putting it in action

We designed a recruiting system that offered seamless entry points that: screened and scheduled potential candidates, supported communication through hiring, as well as stored and mobilized that data in a functional internal database.

Enabling the company to easily take candidates from application to hired and/or stay in touch future consideration.

I wonder how your systems can save you time, money, and energy?
